INSTRUCTION PAGE FOR OUR MOST FREQUENTLY ASKED QUESTIONS

 

Add or Drop Players from my roster

To Add a player not registered to another team you must login and go to the online team page for the team you are working with and click on 'ROSTER" at the top of their page (do not go to the PLAYER REGISTRATION WIZARD used for the initial Fall registration).  There you can add players on available roster lines who are already in our database or add new players to our league.  Photo's (jpeg) and birth certificates (jpeg) will need to be attached to new player's files.  You must then "SUBMIT" the add on the bottom left of the roster page.  Don't forget that new players will need photos and birth certificates (.jpeg format) attached to their files. Once you submit the add a summary page will appear.   If you are printing your own passes then no fees are due and the player add or drop will be processed in a short amount of time.  If however you want a hard copy pass issued by us the fee is $10.00 payable to IWSL.   Print a copy of the summary sheet and mail with the required fees to IWSL  PO Box  808, West Dundee, IL   60118.   (NOTE: Once a player add is approved by us the team can print a new IYSA roster that will list the up to date approved team roster - there are no additional add forms etc). 

NOTE: There are 2 assist buttons/links also available on the roster page.

1. There is a  "XFER" button/link on the right side of each player's line by "Edit/Drop" which you can use to drop and transfer a player within teams of the SAME club in one step/action. 

2. There is a "DROP & ADD" button on the bottom right side of FULL rosters only,  where you can drop a player and add a new one in one step/action.  This allows you to add a player without waiting for the player being dropped to be released before you are able to add the new player.

To Release (drop) a player who is currently on your roster you should login and go to the online roster page for your team and click on the "DROP" button on the player's line on the roster.   You must then "SUBMIT" the release on the bottom left corner of the roster page.  A summary page will then appear.  Then destroy any hard copy pass or Print Your Own Pass for the dropped player.  There is no fee for releasing a player. (NOTE: Once a player release is approved by us the team can print a new IYSA roster that will list the up to date approved team roster - there are no additional forms etc).  

To Add a player previously rostered to another team this season she must first be dropped from her old team as listed above and meet the requirements of the player transfer rule. The new team would then add the player via the add a player procedure listed above.  Coaches intending to play State Cup should remember that you can only add a maximum of 5 players to your team per year who were previously registered to another team this seasonSubmit the forms as directed in the first paragraph above for processing.

To Add a "Spring Only" 15U player (Must be in 8th grade and remains on a 15U-19U roster from Fall) submit a "Spring Only" mail in request and include a photocopy of her current player pass to IWSL.  You must also include a $10.00 fee payable to IWSL  PO Box  808, West Dundee, IL   60118 for the authorization card that can cover 1 to 5 players.   The request is a memo you write listing the 15U team (or 14U team if your club does not have a 15U team for Spring) she wants to play with and the team she was rostered with in the Fall (there is no preprinted form).  We will issue an authorization card that will go with the 15U/14U team's player passes for her to play the league games and the player will be listed on the gamecard roster.  The player's registration stays with her original 15U-19U team and she is only authorized for the Spring league games within the IWSL.   She will use her 15U-19U team's pass for the 15U/14U IWSL games along with the authorization card we issue and her listing on the available players for the gamecard.  She is not eligible for State Cup or tournaments (except as a tournament guest if allowed) with the 15U/14U team. There must be openings on the 15U/14U team's roster and a maximum of 5 "Spring Only" players can be added to an existing team. To Add a Head Coach or Assistant Coach follow the procedures listed above to add a player but go to the Coach section of the roster to process.  Attach a photo and the coach's license info to the file.  SUBMIT the addition/change on the bottom left corner of the roster page.  If a hard copy pass is desired, a summary page will then appear and mail a copy of that sheet along with a copy of the coaches license and $10.00 per pass fee to IWSL  PO Box  808, West Dundee, IL   60118

The Process for listing guest players on gamecards.  When processing a gamecard a list of available players from within your club will be listed who meet IWSL Guest Player rules (same age or lower and not on a higher age/level team).  You then can choose your guest players from the listing within the maximum number allowed per age group.  You cannot hand write in any guest players on the gamecard except for an authorized guest player from the YSSL who can be listed by hand.  With this procedure we will now require that both the Home team and Visiting team bring a completed gamecard for presentation to the referee.  Accordingly, failure to bring a completed gamecard will mean that a team cannot use any guest players at the game.

To Replace a lost player pass send a written request listing the player's name and team number and $10.00 replacement fee payable to

All player rosters and passes are issued by us (IWSL) under the authority of the IYSA (Illinois Youth Soccer Association). We process adds and drops daily and mail them back to the coach promptly.  

 

Print a Copy of my Team's IYSA Stamped Roster

Team contacts need to login in to the website and go to their Team Page.  On the Team Page click on the ROSTERS link, then click on the IYSA CERTIFIED STATE ROSTER LINK.  You can then print a copy of your roster with the IYSA stamp on it.

 

Certificate of Insurance Request

To secure a Certificate of Insurance download a Certificate of Insurance Request Form on the IYSA website (FORMS page) at www.illinoisyouthsoccer.orgComplete the form and fax directly to the IYSA at 847-290-1576 for processing.

 

Insurance Claim Form for Player Injury

To secure the Insurance Claim Forms download them  on the "Forms" section of the IYSA website at www.illinoisyouthsoccer.org . The coach and parents must complete the form and mail to the IWSL Business office for approval/verification.  We will forward the forms to the IYSA once we have approved them.

Rainout Game Procedure

If games are rained out or cancelled due to weather conditions or closed field the Club Manager must login and click on the RAINOUT GAMES link located toward the top of the club page.  A list of current home games will appear and the cancelled game/s should be checked and the submitted via the link at the bottom of the page.  This should be done as soon as the cancellation is confirmed.  Additionally, notice should be sent to the home team referee assignor and opposing team.  Games that are rained out will then have a game change link posted on the team's game listing for the make up to be rescheduled.

Tournaments 

Q: How do I find out about them

A: Soccer America which is available at your soccer store has a monthly issue which lists tournaments by date across the United States, Canada, etc. The IYSA website www.illinoisyouthsoccer.org  lists approved tournaments being held in Illinois.

Q: How do I secure a travel permit to take my team to an out of state tournament

A: Call the IYSA (847-290-1577) to secure a travel permit or download the form from their website www.illinoisyouthsoccer.org on the FORMS link.  They process and approve all travel permits.

Q: How do I secure a Guest Player Form for a tournament

A: Call the IYSA (847-290-1577) to secure a form (or download from their website www.illinoisyouthsoccer.org.  They process and approve these forms.

 

Web Page errors on incorrect or missing scores

If a score listed on the Web standings is incorrect please  E-Mail us immediately. If a score is missing allow 5 days after the game is played before you notify us to allow for any delay in our receiving the original gamecard in the mail.
